This website, organicdivision.org, is operated by the ACS Division of Organic Chemistry, a subdivision of the American Chemical Society (ACS). We use this site to serve our members, the organic chemistry community, and the general public.

2. Information We Collect

Information you provide directly

We collect information you voluntarily submit through forms on this site, which may include:

  • Name, affiliation, and professional title
  • Email address and mailing address
  • Session, award, or symposium application details
  • Travel and reimbursement information (including banking details for electronic reimbursements — see Section 5)
  • Speaker, poster, and abstract submission content

We only collect information that is necessary for the specific purpose of each form.

Information collected automatically

Our web server logs standard technical information including IP addresses, browser type, referring page, and pages visited. This information is used only for security monitoring and server administration. It is not used for behavioral advertising or sold to third parties.

We do not use Google Analytics or any cross-site advertising tracking.

3. Member Login (ACS SSO)

This site uses the ACS Single Sign-On (SSO) system for member authentication. When you log in with your ACS credentials, we receive your name, email address, and ACS member ID from the ACS identity provider via OpenID Connect. We use this information solely to identify you as an ACS member and to control access to member-only content. We do not store your ACS password.

Your ACS account data is governed by the ACS Privacy Policy.

4. Cookies

This site uses the following types of cookies:

  • Strictly necessary cookies: WordPress session and authentication cookies set when you log in. These are required for the site to function and cannot be declined.
  • Preference cookies: A cookie is set to remember your consent preferences when you interact with our cookie consent banner.

We do not set advertising, analytics, or tracking cookies. You can manage your preferences using the cookie consent tool available at the bottom of this page.

5. Financial and Sensitive Data

Certain forms on this site (such as executive committee reimbursement requests) collect banking information for ACH electronic payments or wire transfers. This data is:

  • Encrypted at rest using field-level encryption within our form system
  • Accessible only to authorized Division administrators
  • Never included in email notifications or publicly accessible exports
  • Retained only as long as necessary to process the transaction

We do not collect or store credit card numbers on this site. Any payment processing is handled by ACS systems subject to PCI-DSS compliance.

6. How We Use Your Information

We use the information we collect to:

  • Process award, fellowship, travel, and reimbursement applications
  • Communicate with speakers, organizers, and award recipients
  • Manage member access to restricted content
  • Operate and improve this website
  • Meet legal and organizational obligations

We do not sell, rent, or trade your personal information to third parties. We do not use your information for targeted advertising.

7. Third-Party Services

We use the following third-party services that may process data in connection with your use of this site:

  • ACS Identity Provider — member authentication via OpenID Connect
  • Gravity Forms — form submission processing; data stored on our server
  • Akismet — spam filtering for any submitted content (data processed by Automattic)
  • Yoast SEO — sitemap and meta data generation; no personal data collected
  • Wordfence — website security; may log IP addresses for threat detection
  • Social media embed service — embedded social feeds may load third-party scripts subject to those platforms’ privacy policies

8. Data Retention

Form submission data is retained as long as it is needed for the administrative purpose for which it was collected. Server log data is retained for no more than 90 days. If you would like us to delete your personal data, please contact us (see Section 10).

9. Your Rights

Depending on your location, you may have rights regarding your personal data, including the right to access, correct, or request deletion of information we hold about you. To exercise any of these rights, contact us at support@organicdivision.org. We will respond within 30 days.
